EXECUTIVE ASSISTANT
Quezon CityThe Executive Assistant to the Assistant Vice President provides high-level administrative, coordination, and analytical support related to budgeting, project development, and executive operations. The role ensures efficient day-to-day management of schedules, documents, reports, and interdepartmental coordination, enabling the AVP to focus on strategic and operational priorities within the real estate portfolio.
- Manage the AVP’s calendar, meetings, and correspondence, including preparation of agendas, minutes, and follow-ups.
- Assist in budget preparation, tracking, monitoring, and consolidation of financial data for project development and operations.
- Coordinate project-related documentation, timelines, and reports across departments such as Finance, Construction, Design, and Legal.
- Prepare presentations, management reports, and executive summaries for internal and external stakeholders.
- Monitor project milestones and support progress tracking and status reporting.
- Handle confidential records, contracts, and sensitive information with discretion.
- Coordinate meetings with consultants, contractors, and external partners as needed.
- Support administrative requirements related to approvals, procurement, and internal controls.
Minimum Qualifications
- Bachelor’s degree in Business Administration, Management, Finance, Real Estate Management, or a related field.
- At least two (2) years of experience in an executive assistant, administrative, or project coordination role, preferably in real estate or construction.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- High attention to detail and ability to handle confidential information professionally.
- Proficient in MS Office (Word, Excel, PowerPoint) and document management systems.
Experience in budget tracking, reporting, or project support is an advantage.
